Making the software intuitive and simple to use is one of our top priorities. Using customized scripting, each user group can have their own customized list of function buttons to accomplish all of their needed tasks. There is no need to dig through menus or remember complex keyboard shortcuts. This makes training a snap, cuts down on re-training, and makes it easy for infrequent users.
Using custom screens created to fit your needs, high speed scanners, and a streamlined process, your operators can easily convert paper documents into digital records. Large records can be broken down into sections to make it easy to retrieve exactly what you are looking for. With very small footprint (about 8x2x2 inches) insurance card scanners, admissions can scan insurance cards and drivers licenses directly into the system without leaving their desk to use a photocopier. All scanned records are stored on a server at your facility, so you will have access to your records even if your external Internet connection is interrupted. Authorized users on your network (or connected to your VPN) can access the records in digital format from a Windows PC using our client software.
If you already have an electronic copy of your demographic information, we can receive an automated feed (typically HL7 or plain-text csv) and load the demographic information without your operators having to key it into both systems.
Similar to the automated demographics, if your existing system is capable of sending us electronic files, we can import and index the files.
Our system makes it easy to export any scanned documents as an industry standard TIFF or PDF file that can be used with a different application. The export process can be manual or automated. For example: if you need all scanned records to end up in your EMR system, you can scan them in and the system will automatically export them to a shared folder that the EMR can import the from.
Instead of wasting paper, time, and postage printing (or photocopying) and mailing entire paper records, you can export scanned records directly from the system as encrypted, password-protected, electronic files. Small files can be transmitted via email, while larger files can be burned to CD or saved to a USB flash drive. The system will also help you keep a log of all records that have been released.
If you have in-house coders, they can access the records electronically rather than needing to pull the paper chart. If your coders work from home, all they will need is a VPN connection and our client software installed on their computer. No need for the paper records to ever leave the facility. If you have third party coders at a remote location, the system can automatically submit records ready to be coded to a remote FTP server, or you can mail a daily batch using CDs, eliminating the need to photocopy and mail the entire paper record.
Scanned records can be sent to a specified user for review. That user can review the record for accuracy and completion, and when satisfied, sign off on the record. This can be utilized for physicians review, quality assurance, or other checks needed throughout the facility. Throughout the review process, the scanned record will always be available for viewing. More advanced workflow procedures are also available.
